Web Conferencing
Do I need to run Web Conferencing?
The obvious requirements for running Web Conferencing are: high-speed internet access, a computer, and a phone! But, as described below, the moderator may be required to download Active X Control, depending on the files you want to share and the capabilities of your Web Conferencing provider.
There are two ways to share documents through Web Conferencing. One is through your Web Conferencing vendor's server. The other is directly from your desktop.
1.)If you share documents from the provider's Website, you won't need any special installations. (You'll need to upload these documents in advance and then open them during the Web Conference.)
2.)If you want to share any documents directly from your desktop, the moderator will need to install Active X Control onto your computer. This is simple to do, and the download is available via your Web Conferencing vendor's website.
Note: If you plan to allow others to moderate the conference call, they also will need to install the Active X Control. ActiveX Control is Windows-based and runs more effectively on PC's than AppleComputers.
The capabilities of vary among Web Conferencing vendors. Some offer the capability of sharing both via the desktop and from previously uploaded files. Others allow you to share only previously uploaded files. If you'd like to learn more about the capabilities of Cory's recommended web conferencing vendors, please call Cory Communications direclty.
Who can participate in Web Conferencing meetings?
Participants can join meetings in several ways, depending on which is most convenient:
Moderators
Moderators can share documents from their desktops, depending on the capabilities of your Web Conferencing provider. Even if a participant is not the official moderator, you as the moderator can give control to any participant for desktop file sharing, provided this participant has installed Active X Control, and your conferencing provider's capabilities include desktop file sharing.
Participants
Participants can join any online meeting they are invited to, even without creating an account. They do not need to install any additional tools. Simply by looking at their own desktops, they will see the documents, images and files shared by the moderator.
All participants have everything they need at their fingertips to get fully involved.
With audio integration, anyone can dial into the telephone portion of a meeting, even without a computer.
How do I invite participants?
You will simply send an email or call your guests, provide them with the access number and passcode.
Your Web Conferencing provider may have the capability to pre-format an email which you can send, if you use Microsoft Outlook.
If you would like to learn about the specific invitation capabilities offered by Cory Communications' selected vendors, please call us directly.
How do I share files?
There are mulitple levels of file sharing, depending on the amount of control and interactivity desired. If you just want to display files to others in the meeting but don't require editing capabilities, you can view documents which you have uploaded to your Web Conferencing vendor's server. These documents are "static" and you cannot edit them or use programs during your conference.
Some Web Conference providers offer a greater level of group interactivity and involvement, which can be gained by sharing documents form your desktop. You can open files in their native application from your own computer to show in the meeting. These files are accessible to all meeting participants even if they don't have the applications on their own computers. When you edit the document, other participants see your edits on the spot.
This kind of sharing is a powerful feature lets you share not only single files or applications, but also regions of your computer's desktop and even your entire desktop.
What other information sharing and collaboration features does Web Conferencing have?
Web Conferencing helps facilitate meeting communication and involvement in many other ways. Here are some features offered by Web Conferencing providers. To see which Cory Communications-recommended vendors offer these capabilities, please give us a call:
Control Passing function allows you to share moderating with another participant. This participant can share files and applications from his or her own desktop, and that desktop - not yours- will be visible to all participants. Again, Active X Control must be installed on this participant's computer.
The Meeting History feature captures a running slideshow of information created during the course of the meeting. It can be combined with the audio portion of the call, and downloaded as a complete conference.
