Making the switch to cloud communications is a big enough decision for a business owner…but now you’re probably finding yourself comparing quotes for VoIP service. With dozens of providers to choose from, and all of them seemingly offering similar features and support, how do you choose the right VoIP vendor for your business?
When figuring out how to invest your telecommunications dollars wisely, it can often seem like you need a telecommunications degree to make the decision. The good news is, you don’t! We’ve listed some guidelines below to spot inconsistencies when comparing provider quotes, so that you know if you’re getting what you need.
When comparing quotes for VoIP service, ask yourself…
What features are included in the seat cost?
With seat bundles, providers will often include features and add-ons that you don’t need. Find out what’s included in each package, and choose the one that best fits your business. If your employees work remotely or are frequently on the road, be sure to request a mobile option.
Are they including taxes and surcharges?
In many cases, providers don’t include the taxes and additional fees, so that they can present you with a more attractive quote…after which you’ll be shocked with your first bill. Always be sure to check with the provider about any additional fees.
Are they offering a free phone?
Providers frequently offer a free phone as part of their plan. Always check the fine print…nothing is ever free, and you may see that phone reflected in another line item in your quote. Also, pay close attention to the model of phone the provider is quoting. Most often, it will be a garden variety type of phone.
Is installation and training included? (This is important!)
Some providers will list installation in the quote…but do you know what type of installation you’re getting? Is it “self-installation”, where your people set everything up and then call into an 800 number? Will there be someone at your site to verify that your facility has the necessary cabling and power requirements? Will you need to build your own call flow, or will they provide a specialist to build it out and make recommendations?
It’s a good idea to understand your comfort level with setting up your system on your own, and make sure that the provider will meet your expectations.
Is there sufficient tech support?
Does your provider really offer support 24/7/365? Is it live support all day, or only during normal business hours with a “ticket system” or chat box after hours? A provider may also vary their support level based on your company’s size. Be sure that you know the provider’s live support hours and the location of their call center, and ask for a copy of their escalation process when there’s an issue.
Are the promotions permanent or temporary?
Very often, a provider will show a discount rate, but in the fine print you’ll see the cost going up after 12 months, and then again after 24 months. It happens a lot! If you see a promotion in the quote, make sure that you understand the terms of the discount, and how much the price will change when it expires.
When comparing quotes for VoIP service, it’s worth the time and effort to find a provider that will answer your questions, understand your business needs, offer customer support when it’s needed, and is clear about what they are presenting to you.
